Meeting Minutes July 13, 2016

  1. The meeting was held on 13 July, 2016 at 5712 Farrel Way and began at 6:00pm
  2. Quorum Confirmation: Board members present: Tom Finkle, William Scism (phone), Patrick Gerdes, and William McKinnon. John Maloney was absent. A quorum was confirmed.
    1. Introduction of guests: Judith Webb, Paula Cole, Shane Bininger, and Jeremy Abercrombie
  1. Approval of minutes: The minutes from the May 16, 2016 meeting were approved. All directors had reviewed these minutes prior to meeting. The minutes were posted to the website
  2. Financial Review: Mr. Schwartz reviewed the current Profit and Loss Statement, the Balance Sheet and the Budget, carefully providing details of each item. This will be available for review on the website.
    1. Barnes lots are up to date on the payment schedule
    2. 105 Aden Court has been foreclosed
    3. 1005 Steel Court is on schedule for payment
    4. 1028 Steel Ct. is being foreclose
      1. Tried to sell, but home was in very poor condition


  1. ARC Update – 1 project has been approved, 1 is still pending. There is an ARC Review meeting on 7/20/16 at 10am, at 5612 Farrel Way.
  2. Welcome Committee – All welcome letters have been sent out to new residents. It was also explained to the guests that this info is on the website and down on the bulletin board.


  1. Culvert Repair - A date is not yet currently set for the culvert repair on Adrian Way. Sunshine Excavating is waiting for a culver pipe. Once that is obtained a date for the work can be set and begun.
  2. Ditch Cleanup – The weather is currently being monitored for the next dry spell so work can begin on the ditches.
  3. Lawn Contracts – It was reported the lawn contract has been given to Lenny Abishire.
  4. 1112 Adrian Way – A letter has been sent to the tenants. Mr Schwartz has also spoken with the owners of the property to address the issues or they will receive a fine.


  1. Covenant Enforcement – It was discussed that the newsletter was distributed highlighting the covenants and bylaws.
    1. Violation letters have been sent out regarding trash cans, trailers, lawns, or other violations.
      1. Any letters not addressed in 14 days will be fined
    2. Mr. Bininger did address concerns regarding covenants as it pertains to boats/trailers. He was concerned that nothing in the covenants stated anything about boats.
      1. It was explained to him the covenants state trailer must be stored behind a fence. Boats essentially go on trailers and therefore must be behind the fence.
      2. It was stated that if this is something the subdivision would like to change, a vote can always be held to enforce these changes or a change in the Board at the annual HOA meeting in December.

NEXT MEETING: The next meeting of the Board of Directors is scheduled for 6pm on 10/12/16, at 5704 Farrel Way.

Bill Scism thanked the directors and the guests. The meeting adjourned at 7:15pm.
